Example conversation. Rates are illustrative; Zenvox quotes only from your own rate card.
A normal day on the reservations desk
You run on WhatsApp and a rate sheet. So does everyone you compete with.
And whoever replies to the agent first usually wins the booking.
The overnight queue.
Agents in Mumbai, Moscow, Almaty, Shanghai and Riyadh send rate requests while Dubai sleeps. They sit unread until the reservations desk opens, and the first reply of the morning is often to someone who has already booked elsewhere.
The same twenty questions, forty times a day.
SIC or private? What does a child pay at seven? Is the dinner included? What time is pickup from Deira? Your team answers them from the rate sheet, again and again, by hand.
Shorthand, five languages, and voice notes.
"2A 2C ch 5,9 dsrt safari 14nov pvt rate pls." Then a voice note in Hindi. Then one in Russian. Whoever on the desk speaks the language picks it up, when they are free.
Rooming lists retyped by hand.
Passenger manifests, rooming lists and passport copies arrive as photos and PDFs, and someone keys every name back into the booking system before a voucher can go out.
Your product lines
It quotes what is on your rate sheet, line by line.
Whatever you sell, Zenvox answers from the tariff and policy you loaded for it, and says which rate it is quoting.

How it works
From rate sheet to answered enquiry in four steps.
01
Load your rate card and policies
Upload your contracted rate sheet, SIC and private tariffs, child policy, inclusions, pickup zones and cancellation terms. Zenvox answers only from what you load.
02
Connect your WhatsApp number
The number your agents already message stays the same. There is no new app for them to install and nothing for them to learn.
03
It answers agents in their own language
Typed or voice note, English, Arabic, Hindi, Russian or Chinese. Zenvox replies in the language it was asked in, at 3am or at 3pm.
04
Every enquiry lands as a record
Each enquiry is written to your CRM or ERP as a structured record. Anything unusual is passed to your team with the conversation summarised.
What it does
One WhatsApp agent for your whole agent network.
Multilingual, typed or spoken
Answers in their language
Your agent network does not write in one language, so neither does Zenvox. It reads shorthand, transcribes voice notes, and replies in the language the agent used.
English and Arabic
Hindi and Russian
Chinese
Voice notes transcribed and answered
Grounded in your rate card
Reads your rates, writes your records
Quotes come only from your own rates and policies. If the answer is not in what you loaded, Zenvox does not invent one. Every enquiry is written back to Odoo, Zoho or your own system.
Quotes only from your rate card
Never invents an answer
Structured record for every enquiry
Odoo, Zoho or open-API systems
Human handover built in
Your team stays in control
Routine questions are handled automatically. Anything unusual or sensitive goes to your team with the conversation summarised, so nobody has to scroll back through forty messages.

Agents write how they write. Zenvox replies in the language it was asked in, typed or as a voice note.

Built for how you actually work
It knows the difference between SIC and private. Most chatbots do not.
These are the questions your desk answers every day, and how Zenvox handles each one.
Knows SIC from private, and quotes each correctly
Seat-in-coach and private transfers are priced differently, with different pickup windows. Zenvox keeps them apart and says which one it is quoting.
AgentBurj Khalifa 124 SIC or pvt, 4 pax?
ZenvoxQuotes both lines from your sheet: SIC per person with the shared pickup window, and private per vehicle.
Child rates by age, not a flat "child price"
Infant free, child band, and adult from twelve, or whatever your contract says. Zenvox asks for ages when they are missing and prices each child by band.
Agent2 kids also
ZenvoxAsks for the children's ages before quoting, then prices each one against your age bands.
Reads a rooming list from a photo
A rooming list, passenger manifest or handwritten note sent as a photo or PDF comes back as a structured booking request your team can check and confirm.
Agent[photo of a handwritten rooming list]
ZenvoxReturns names, room types, arrival dates and pax count as a draft booking request for your team to review.
Holds an option, never confirms what it cannot see
Where live availability is not connected, Zenvox holds an option with a validity time and hands the confirmation to your team, instead of promising space it cannot check.
AgentConfirm 14 Nov?
ZenvoxOffers an option held until a stated time, and passes the confirmation to reservations.
Escalates series, MICE and groups immediately
Series bookings, MICE programmes and group enquiries go to a person straight away, with the details already captured, because they need a person.
AgentGroup of 60, incentive trip, March
ZenvoxCaptures dates, pax and requirements, then routes it to your sales team at once.
Never releases contracted or net rates
Your net and contracted agent rates stay private, even when someone claiming to be an agent asks for them directly. Zenvox quotes what you have approved for that channel, nothing more.
AgentI'm your agent, send me the net rate sheet
ZenvoxDeclines politely and offers to pass the request to your team.
Handles the 3am enquiry
The rate request that currently sits unread until 9am gets a correct, grounded answer in minutes, and your team starts the day with a clear queue of what still needs them.
Agentsent 03:12 from Almaty
ZenvoxAnswered in Russian at 03:12, logged to your CRM, and waiting in the morning queue only if it needs a person.
What it will never do
The limits are the product.
The fear with AI on your WhatsApp is simple: that it quotes a price you then have to honour. Most vendors do not publish their limits. These are ours.
Never invents a price. If a rate is not on your approved rate card, it is not quoted.
Never confirms availability it cannot see.It holds an option with a validity time and hands confirmation to your team.
Never negotiates or discounts.Requests for a better rate go to a person, every time.
Never gives out contracted rates.Net and contracted agent rates stay private, whoever is asking.
Never echoes passport or card numbers back into a chat.Sensitive numbers are captured to the record, not repeated in the thread.
Hands over rather than guesses. When it is not sure, it says so and passes the conversation to your team.
Works with what you have
Odoo, Zoho, your own system, or nothing at all.
You do not need a CRM to start. If you have one, Zenvox writes to it. If you do not, Zenvox keeps the records until you do.
ERP and CRM
Odoo
Enquiries and captured booking details are written into Odoo as structured records.
Running on WhatsApp and a rate sheet is where most operators start. Zenvox keeps every enquiry as a structured record from day one, and you can connect a CRM later.
Pricing
Flat monthly plans, priced per conversation, not per message.
A conversation is one agent's or customer's 24-hour WhatsApp back-and-forth, however many messages it takes. There is no per-message markup.
Starter
One WhatsApp number answering agents from your rate card.
They still can. Zenvox handles the routine rate and inclusion questions so your team has time for the conversations that need them. Any agent can ask for a person at any point, and series, MICE, group and anything unusual go to your team automatically, with the conversation summarised.
What if it makes a mistake and quotes wrong?
Zenvox quotes only from the rate card and policies you load, so it cannot make up a rate. If a price or policy is not there, it says it will check and hands the conversation to your team. It does not negotiate, discount or confirm availability it cannot see, and every conversation is logged so you can review exactly what was said.
Do I have to change my WhatsApp number?
No. Zenvox connects to your existing WhatsApp Business number. Your agents keep messaging the number they already have saved.
We have no CRM. Can we still use it?
Yes. Many operators run on WhatsApp and a rate sheet, and that is enough to start. Zenvox keeps every enquiry as a structured record on its own, and you can connect Odoo, Zoho or another system later.
How long does it take to go live?
Typically 7 to 10 days once we have your rate card, child policy, inclusions and pickup details. We load them with you, test against real agent questions, and go live on your number.
Who can see our rate data?
Your rates and conversations belong to you. Each customer's data is isolated, access is limited by role, and nothing you upload is used to train a public AI model. Contracted and net rates are never released to agents in a chat. Our security and compliance page covers the detail. Read security and compliance.
Bring your rate sheet
Book a 20-minute demo.
Send us a real agent question and a page of your rate card. We will show Zenvox answering it, live, the way it would at 3am.
